Messages & reminders

Messages keep your conversation with a client together. Reminders follow up on outstanding actions such as accepting an estimate, signing an agreement or paying an invoice.

Conversations

Open Messages or the conversation from a project. Each project has a conversation with its primary contact. A client can also have a general conversation for matters outside one project.

Other people attached to a project do not automatically see its conversation. Check the recipient before sending.

When email is configured, a new message can also be delivered by email. The notification may be skipped if the recipient reads the message in the app first. With inbound email configured, a reply to that email returns to the same conversation.

If an email cannot be matched to a conversation, it appears under Emails to place. Review it and place it in the appropriate conversation or dismiss it.

Automatic reminders

The system can remind clients about unanswered estimates, unsigned contracts, upcoming or overdue invoice installments, and held sessions nearing expiry. The studio also receives alerts for work such as a contract waiting for its countersignature.

Reminders are sent during daytime in the studio's time zone and stop when the relevant action is complete. They depend on working email delivery and the scheduled background job.

In Settings, publish the reminder setting to control automatic client reminders across the studio. On one project, use Pause reminders while making other arrangements and Resume reminders when appropriate. Pausing client reminders does not stop the studio's own alerts.

What needs attention

The Overview's Waiting on clients list helps you find outstanding documents, payments and holds. If expected messages are not arriving, check Settings → Connections for delivery failures and failed tasks, or ask your owner to investigate.
