Invoices & income

An invoice records what a client owes. Payments record money received against it. Income brings invoice payments and money received without an invoice into one view.

Create and issue an invoice

After estimate acceptance, open the estimate and choose Create invoice. The draft keeps the agreed prices and creates a payment plan from the deposit and balance. Check due dates and payment instructions, then choose Issue and email to client.

For work agreed outside Zone 5, choose New invoice on the project and enter the items directly. Those draft prices can be edited before issue. Prices copied from an accepted estimate stay fixed.

Issuing assigns an invoice number and locks the contents. Draft and voided invoices are not visible to clients.

Receive payment

When Stripe is connected, the invoice's recipient can pay the next installment or the remaining balance from their client page. The payment is recorded after Stripe confirms it.

For cash, cheque or transfer, use Record a payment on the invoice. Record money after receiving it. Payments cover installments in order, so the deposit is covered before the balance.

The invoice's paid, part-paid and overdue states are calculated from its due dates and payments. Recording income elsewhere does not settle an invoice.

Refunds and corrections

Payments are kept as a history rather than edited or deleted. Use Refunds and corrections to correct a payment or record money returned. Card refunds go through Stripe; refunds for other payment methods need to reflect money you returned separately.

An issued invoice can be voided only when it holds no net payment. Refund money first if necessary. A draft can be discarded before issue.

Money without an invoice

For second-shooting income or another payment that never had an invoice, use Income → Record income. Add a description and optionally link the payer and project. It counts in income totals, but sends no client receipt and cannot meet a booking's deposit requirement.

Clients can print an invoice or save it as a PDF using their browser. Generated invoice PDF files are not currently provided.
