Zone 5 documentation

How Zone 5 fits together

Your studio is the business you and your team work in. It has a public website, shared settings and a private workspace. Most client work is organized around a project.

One job, connected records

Imagine a family books an autumn portrait session. The people are contacts. The session's work is a project. The proposed price is an estimate, the agreement is a contract, the reserved time is a booking, the bill is an invoice and the finished photographs are delivered in a gallery.

Concept What it means How it connects
Contact A person, whether a lead, client or past client. Can be involved in several projects.
Project One piece of work. Brings together its people, documents, bookings, galleries and conversation.
Estimate A priced proposal. Sent to a person on the project; an accepted estimate can become an invoice.
Contract The agreement and its signatures. Belongs to the project, with one or more signers.
Booking A requested, held or confirmed session time. Belongs to a project and may wait for payment or signatures.
Invoice A bill with a payment plan. Records what a person on the project owes and what has been paid.
Gallery A protected delivery of photographs. Belongs to a project and presents albums from Photos.

This is a common workflow, not a required sequence. You can invoice work agreed elsewhere, hold a booking before the contract is signed or have several sessions on one project.

What belongs to the whole studio

  • Photos & albums are the library used by the public portfolio, marketing, shop and private client galleries. An album used privately in a client gallery cannot also be public.
  • Packages describe repeatable services, pricing and booking duration.
  • Website & portfolio control how the studio presents its work to visitors.
  • Marketing uses contacts and their past work to build audiences for campaigns.
  • SEO & AI discovery control the public site's descriptions and crawler preferences.
  • Shop provides print sizes, published pieces and print orders from both the public shop and galleries.
  • Team & settings control studio access, shared business details and connections.

Who sees which part

Visitors see your public website. Staff sign in to the studio workspace. Invited clients sign in to their client page, where access is granted per project and documents have their own recipients. Gallery guests use a gallery link and passcode.

Adding someone to a project records their involvement. It does not give them staff access or automatically let them read every other person's document or conversation.
