Projects
A project is one job for your studio: a wedding, a portrait session, an event or another piece of client work. Open Projects in the studio to see your jobs, then open a project to work on its details.
Start with the project
Website inquiries create a contact and project automatically. For work agreed elsewhere, choose New project, select the primary contact and enter a title and any known session details.
The primary contact is the main person you work with. Add other contacts for people such as a partner, planner or payer. Use separate projects for separate jobs, even when the same client returns.
What a project holds
- Estimates for agreeing the price.
- Contracts for agreeing and signing the terms.
- Bookings for the session times.
- Invoices and their payments.
- Galleries for delivering the photographs.
- Messages, internal notes and an activity timeline.
- Client-page access for the people involved.
Create these records from the project so they are attached to the right job. The studio's Estimates, Contracts, Invoices and Galleries pages help you find records across projects.
Progress and the next step
The project's progress display is calculated from its records: Inquiry, Estimate, Contract, Session scheduled, Session complete, Awaiting full payment and Completed. Sending documents, confirming sessions and receiving payment move that display forward.
The display reflects the furthest point reached. A confirmed booking can show Session scheduled even while a contract still needs signing. Completed describes the session and issued invoices; check gallery delivery and outstanding items separately.
The suggested next action helps you continue the workflow. Items needing attention can still appear alongside it, including an unsigned agreement or a client who needs access.
Internal work and client access
Use notes for information the team needs. Internal notes and the activity timeline are not shown on the client page.
In People & client page, invite each person who needs access. Use View as to preview that person's view, and remove their access when appropriate. Pause client reminders on the project when you are making other arrangements, then resume them when ready.
